Ideanote AI Terms

These AI Terms supplement the Ideanote Terms of Service or other agreement between Customer and Ideanote ApS governing the use of Ideanote's services (the "Agreement") and apply to AI-powered features within Ideanote. In the event of a conflict on AI-specific matters, these AI Terms control. All other terms of the Agreement remain unchanged.

AI Features are optional and may be enabled or disabled at any time by a workspace administrator. On Self-Managed deployments, AI Features are disabled by default. By enabling or using AI Features, Customer agrees to these AI Terms.

1. AI Features, AI Providers, Input, and Output

"AI Features" means functionality within Ideanote that uses artificial intelligence to generate or process content, such as idea generation, scoring, tagging, summarisation, translation, image generation, and workflow automation.

"AI Providers" means third-party providers engaged by Ideanote to provide model inference or related AI processing for AI Features.

"Input" means any data or content submitted to or made available for processing by AI Features, including idea content, challenge descriptions, and prompts.

"Output" means any content generated by AI Features based on Input, including generated ideas, scores, tags, summaries, images, and analysis results.

Input and Output are Customer Data under the Agreement.

2. Data, Training, and Retention

Ideanote does not use Customer Data, Input, or Output to train AI models. Ideanote does not permit its AI Providers to use Customer Data, Input, or Output to train their models.

Where supported by the applicable AI Provider and deployment setup, Ideanote configures AI processing with zero data retention ("ZDR"), disables human review, and minimizes or eliminates retention of Customer Data used for AI processing. Availability of ZDR may vary by provider, region, and deployment configuration.

Ideanote uses third-party AI Providers to deliver AI Features. These currently include Microsoft Azure (Azure OpenAI) and Google Cloud (Vertex AI), and may vary by region. A current list is maintained on Ideanote's sub-processor page. Changes to AI Providers follow the notification process in the Data Processing Agreement.

3. AI and Local Data Residency

For Ideanote-managed deployments, AI processing is performed within Customer's selected region.

Availability of AI Features, regional processing, and specific AI Providers may vary depending on region and infrastructure. Certain AI Features may be limited or unavailable where the applicable AI Provider does not support in-region processing or equivalent controls.

4. AI and Self-Hosting or BYOK

Ideanote supports connecting Customer's own AI provider or self-hosted AI models to the platform ("Customer AI") if they follow standard API formats. On Self-Managed Ideanote deployments, this is the only way to enable AI Features unless otherwise expressly agreed in writing.

When Customer AI is used, data is processed by Customer's chosen AI provider or infrastructure under Customer's own terms, controls, and configuration. Ideanote's commitments in Sections 2 and 3 regarding Ideanote-managed AI Providers, retention settings, and regional AI processing do not apply to Customer AI.

Customer is solely responsible for the selection, configuration, legality, security, compliance, retention behavior, and data residency of any Customer AI, including any applicable provider agreements.

Ideanote makes no representations or warranties regarding any Customer AI or its output and has no liability arising from Customer AI.

5. Ownership

Customer retains all rights in Input. Customer owns Output to the extent that rights in Output exist under applicable law.

Output may not be unique and other customers may receive the same or similar Output.

6. Customer Responsibilities

Customer is responsible for the legality and accuracy of all Input, and for evaluating all Output before relying on it. Customer must not:

  • represent Output as solely human-generated where disclosure of AI involvement is required by law;
  • use AI Features in violation of applicable law or the Ideanote Acceptable Use Policy;
  • provide Input that violates third-party rights or that Customer does not have the necessary rights to submit;
  • use AI Features or Output as the sole basis for decisions involving employment, credit, housing, insurance, medical advice, legal advice, or safety-critical matters without appropriate human review;
  • submit sensitive personal data to AI Features unless expressly permitted under the Agreement, the product documentation, and the applicable deployment configuration.

7. Disclaimers

Output is generated by artificial intelligence and is provided "as is." Ideanote makes no warranty as to the accuracy, completeness, reliability, originality, or intellectual property status of any Output.

Output does not represent Ideanote's views and does not constitute professional advice of any kind.

The limitation of liability and warranty provisions in the Agreement apply to AI Features.

Service level commitments in the Agreement do not extend to AI Features.

8. Availability and Changes

AI Features may be updated, changed, limited, or discontinued from time to time.

Ideanote may suspend or limit AI Features where reasonably necessary for security, legal compliance, abuse prevention, or changes in third-party AI Provider availability.
