Turn ideas into tasks

Ideas without action are nothing. Make sure your ideas are acted on by assigning people to take them further.

Who Should Act on This Idea?

After your team identifies and prioritizes the best ideas, the next step is execution. Without clear ownership, ideas sit in limbo. No one takes responsibility, and nothing moves forward.

Ideanote lets you assign ideas to specific people or teams during the Act phase. When you assign an idea, the system automatically sends a notification to the assigned users. They receive a clear alert that an idea needs their attention and action.

Assigned ideas appear directly in each user's profile. This creates a personal queue where people see exactly which ideas they own and need to work on. You control who has permission to assign ideas, so you maintain governance over your innovation process.

You can assign an idea to a single person, multiple individuals, or entire teams. This flexibility means you can match each idea with the right stakeholders who have the expertise and authority to execute.

The result is fewer ideas falling through the cracks. Your prioritized ideas move from concept to reality because the right people receive them, know they own them, and take action. This is how your organization closes the gap between ideation and implementation.

How do I assign an idea to someone?

You assign users during the Act phase of your workflow. Select the idea you want someone to work on, then assign one or more people to take it forward. The assigned user or users will receive an automatic notification.

You control who has permission to assign ideas to others. This lets you define clear governance for your innovation process.

Can I assign an idea to multiple people or teams?

Yes. You assign ideas to one person or to multiple users at the same time. This works for cross-functional teams or when an idea needs input from several stakeholders.

Each assigned person sees the idea in their profile and gets notified when you add them.

How do assignees know they have been given an idea?

Ideanote sends automatic notifications when you assign someone to an idea. This means assignees know right away that they need to take action.

Assigned ideas also appear in each user's profile, so they have a clear view of what they need to work on.

Where do assigned ideas appear for the people working on them?

Assigned ideas show up directly in the user's profile. This gives each person a personal queue of ideas they are responsible for.

Your team members log in and see exactly which ideas require their attention and action.

Can we automatically route ideas to the right department or person?

Ideanote does not automatically assign ideas based on submission data or form inputs. You manually assign ideas to the appropriate stakeholders during the Act phase.

This gives you full control over who takes responsibility for each idea, while still reducing manual work through automatic notifications once you assign someone.

Who decides which ideas get assigned and to whom?

You define who has permission to assign users to ideas. This lets you set up role-based access so only the right people move ideas into action.

You also decide when ideas move through your workflow phases. Once an idea reaches the Act phase, authorized users assign it to the people who will execute on it.

What is the difference between assigning a user and selecting a user in a custom field?

Assigning a user is a distinct action that triggers automatic notifications and places the idea in the assignee's profile. This creates accountability and a clear action queue.

Custom fields let you tag or categorize ideas with user names, but they do not send notifications or create task visibility. Use assignment when you need someone to take action on an idea.
