Can I tag people who don't have access to a specific idea collection?

No. You can only tag users who already have access to the idea collection where the idea lives. If someone doesn't have permission to view that collection, they won't appear in the list of people you can tag.

This keeps your access controls intact and ensures people only see ideas they're supposed to see.

Does the person I tag get notified?

Yes. When you tag someone with @mentions, they receive a notification. This alerts them that you need their input, expertise, or attention on a specific idea or discussion.

Can I assign multiple owners to an idea?

Yes. You can add co-owners to an idea. Co-owners have editing access and can collaborate on developing the idea together.

What if Ideanote doesn't show all the users I want to tag?

Ideanote can only list users it knows about. If you're using just-in-time authentication, the platform may not have the full user directory yet.

You can upload a CSV of users or sync your Active Directory via SCIM to ensure the user list stays current and complete.

How do I bring the right experts or managers into an idea at the right time?

Use @mentions to tag people when you need their expertise, approval, or input. You can tag them in comments as the idea progresses through different phases or when specific questions come up.
